Xentral offers a volume-based pricing model. This means: the more your business grows and the more features you need, the higher the price. This may sound off-putting at first, but it has one decisive advantage: you only pay for what you actually need.

Unlike many competitors, Xentral includes unlimited users in all plans. This is an enormous advantage as your team grows. With other providers, each additional user quickly costs €50–100 per month extra. With a 10-person team, that's a saving of €500–1,500 - every single month.

Launch - from €99/month

The Launch plan is Xentral's answer to the question: "Can startups also afford a professional ERP?" The answer is yes - with limitations.

Who is Launch designed for?

The plan targets startups and small businesses that are just getting started and don't yet have complex processes. If you have annual revenue below €500,000 and process fewer than 1,200 orders per month, Launch can be a good entry point.

What do you get?

The Launch plan includes basic inventory management: product management, customer master data, order processing, and basic warehouse management. You can create up to 1,000 products and connect one shop or marketplace. Support is provided by email.

The catches:

First: Onboarding is mandatory and costs a one-time fee of €1,990. This puts the low monthly price in a very different light. Second: The contract term is 24 months. And third: Important features such as Xentral Flows (automation) are not included.

My take: The Launch plan sounds tempting, but the combination of mandatory onboarding and a 24-month commitment makes it worthwhile only for true startups who are confident they want to stay with Xentral. For most businesses, going straight to Starter is the better choice.

Who Is Starter Right For?

The Starter plan is the sweet spot for most small and medium-sized e-commerce businesses. It offers enough functionality for professional operations without breaking the budget.

Who is Starter designed for?

If you're a growing SME with €500,000 to €2 million in revenue, operating 1–3 sales channels and looking to professionalise your processes, Starter is exactly right. Businesses switching from Billbee or similar entry-level tools also typically land here.

What do you get?

In addition to everything in the Launch plan, you get more included orders (500/month), can manage up to 5,000 products, and have access to advanced workflows. The integration options are broader, and you get better support.

Pricing:

The difference between monthly and annual payment is noticeable: €349 with annual billing versus €389 with monthly billing. That's €480 in savings per year - enough for a few hours of consulting.

Business - €649–719/month

The Business plan is Xentral's bestseller - and for good reason. It's the point where Xentral really shows its strength: automation with Flows.

Who is Business designed for?

Mid-market businesses with €2–10 million in revenue, multiple sales channels (shop + Amazon + eBay + B2B), and a desire for automation. If you find yourself spending too much time on repetitive tasks, Business is your plan.

What do you get?

The decisive difference from Starter is access to Xentral Flows. This allows you to create if-then rules: "If an order is paid, then automatically approve it and create a shipping label." This saves several minutes of manual work per order.

You also get more included orders, can manage up to 10,000 products, have access to advanced financial features, and enjoy priority support with faster response times.

The automation calculation:

Suppose you process 500 orders per month and save 3 minutes per order through Flows. That's 25 hours saved per month. At an internal hourly rate of €25, that's a value of €625 - practically covering the difference to the Starter plan.

Cost example Business:

Pro - €849–939/month

The Pro plan is Xentral's premium offering for businesses with specific requirements. It's not an "everything is better" plan, but contains specific features that not everyone needs.

Who is Pro designed for?

Businesses with a B2B focus (dunning, SEPA direct debit), manufacturing operations (advanced bills of materials, production orders), or complex organisational structures (cost centres). Also those who need maximum flexibility in integrations and customisations.

What do you get additionally?

In addition to everything in Business: advanced dunning with multi-stage reminder cycles, SEPA direct debit collection, cost centres for detailed controlling, extended production features, and all premium features that Xentral develops.

Cost example Pro:

  • Monthly license: €849 (annual billing)
  • Setup (complex): approx. €8,000–15,000 (one-time)
  • Year 1 total: €18,188–25,188
  • From Year 2: €10,188/year

My take: Pro only makes sense if you actually need the specific Pro features. For pure e-commerce retailers without B2B or manufacturing, Business is sufficient in 95% of cases. Ask yourself: "Which specific feature do I need that's only in Pro?" If you don't have a clear answer, stay with Business.


What's Included in ALL Plans?

Before we talk about differences, we should acknowledge the commonalities. This is where Xentral's strength compared to many competitors becomes clear:

Unlimited users: Whether Launch or Pro - you can add as many employees to the system as you like without paying extra. With Salesforce, Dynamics, or many other providers, each additional user costs €50–150 per month. With a 10-person team, that's a saving of €500–1,500 - every month.

Cloud hosting included: You don't need your own servers, no IT infrastructure, no admin to roll out updates. Xentral runs in the cloud, is accessible from anywhere, and is updated automatically.

Updates at no extra charge: New features, bug fixes, security updates - all included. You always have the latest version without upgrade costs like on-premise software.

Academy & Help Centre: Xentral offers a comprehensive learning platform with videos, guides, and documentation. The Xentral Academy and the Xentral Help Centre answer many standard questions without needing to contact support.

Basic support: Email support is included in all plans. Response times vary by plan, but you're never on your own.


The True Total Cost of Ownership (TCO) of a Xentral Implementation

5. Change Management

Don't underestimate the human factor. Employees who have worked with "the old system" for years need time and persuasion to make the switch.

Can I switch plans later?

Yes, upgrades are possible at any time and are billed on a pro-rated basis. Downgrades are usually only possible at the end of the current contract term. If you're uncertain, start one tier lower and upgrade when needed.

Is there a free trial period?

Yes, Xentral offers 14 days free and without obligation. No credit card required, no automatic subscription. Use this time to get familiar with the interface and test basic functions.

What happens if I cancel?

You can export your data (CSV, API). After the contract ends, the account is deactivated, and data is deleted after a grace period. Plan sufficient time for an orderly migration to another system.

Are the prices net or gross?

Is Xentral worth it for my small business?

It depends on your requirements. If you have fewer than 100 orders per month and no complex processes, Billbee or a similar entry-level solution is often the better (and cheaper) choice. From around 300–500 orders per month, Xentral becomes interesting.

Can I book individual modules separately?

Some modules (POS, Analytics Plus) can be booked separately. However, core functions are tied to plan tiers. You cannot buy "Flows only" without having Business.

What about hidden price increases?

Xentral reserves the right to adjust prices but must provide notice. In practice, there have been moderate increases in recent years. Long-term contracts often include price guarantees.
